General Trip Details

Student Transportation: Provided to and from the event via Charter Bus.

  • Please Note: Parents are discouraged from booking the same hotel at the band.

  • Checking in with your student at the hotel, visiting their hotel room, having breakfast with your student, etc. is not permitted as students must follow our exact guidelines and policies when on a trip.

Meals Provided/$ for Meals Needed:

  • Friday: Provided: Sack Breakfast on the Bus, Dinner, and Evening Snack. Students need $$ for an early lunch stop Friday and should pack additional snacks for the bus ride.

  • Saturday: Provided: All meals provided, including Breakfast (at hotel), Lunch, Dinner, and Snacks.

  • Sunday: Breakfast (at hotel) and lunch and additional snacks provided. Students should pack additional snacks for the bus ride.

Spectator Parking: The spectator lots are distributed North of the stadium. Vehicles may access the lots from (University Avenue) 700 East Street. See site map for further information.
There is no charge for spectator parking.

Important Reminders

  • Video & Audio Recording is prohibited. Out of respect for fellow audience members and spectators and to protect the rights of the original composers and copyright owners who license their music to the Buchanan Instrumental Music Program and organizations that host events we participate in, the use of audio and video recording technology - including mobile devices and live streaming applications - during and rehearsal or performance setting is strictly prohibited.

  • Bands of America encourages spectators to not bring bags into venues. Clear bags and emergency bags will be permitted. Bag policies are effective to expedite entry into venues and provide additional safety. Spectators will be allowed to bring items such as cameras, provided they are not in cases that would violate the bag policy at that venue.

  • Outside food and beverages are NOT allowed to be brought into the stadium, either by students or spectators.

  • Please remember that parents/friends may not visit the band at the housing site.

  • If you are traveling to St. George and planning to take your student home with you, you may pick them up from the hotel at 10:00am on Sunday, just before we depart. We will not release students on Saturday night after the show.

    • Complete the “Post-Event Release Form”.

    • Check your student out from a director or bus chaperone IN-PERSON. We will only release students to their own parent/guardian.

Itinerary - Thursday, November 6, 2025

7:25am~8:30am Bring ALL luggage (suitcase/duffel bag, backpack, and shoe bag) to school and put in the theater before school starts.
11:30am Dismissed from 3rd Period/Change for rehearsal (Normal rehearsal clothes)
11:45am Eat a pizza lunch @ Bandroom (Provided)
12:15pm Push everything out to field B1.
12:45pm Rehearsal in the stadium.
2:45pm Run Through
3:00pm Push everything back to the front of the Bandroom/Load Trucks
~4:00pm Dismissed

Itinerary - Friday, November 7, 2025

2:45am Chaperones Report. Meet with the director. Place them on the buses when they arrive.
3:00am Students report to Buchanan. Buses arrive.

  1. Get your luggage from the theater, and put it by your bus.

  2. Return to the Bandroom with all of your carry-on items and check in on the iPad.

  3. Use the restroom before you board the bus.

  4. Do not drink a bunch of coffee on your way to school!

3:05am Loading Crew Carry-On Bag Check by Bandroom.
3:10am Boys bag check, then girls.

  • Chaperones distribute sack breakfasts and take attendance as students board bus.

  • Board the bus with your seat partner. Find your seat quickly and sit down.

3:30am Depart for St. George!

  • Find your seat quickly and sit down. No switching seats!

  • Once you board the bus, you stay on the bus.

  • Mandatory Sleep Time until our first stop.

6:30am Restroom Stop/Loves Truck Stop Tehachapi/QUICK Stop/No Shopping.
7:00am Depart
8:30am Breakfast stop ($) @ Barstow Station, Barstow, CA.
9:30am Continue to St. George
11:00am Restroom Stop/Valley Wells Rest Area
11:20am Depart for St. George
Time zone change...set time 1 hour ahead. 
3:15pm Arrive in St. George at Desert Hills H.S.
3:30pm Dinner on campus.
4:15pm Unload Trucks (No Props)
5:00pm Rehearsal in Stadium
7:00pm Full Run-Through
7:15pm Senior Run-Through
7:30pm Senior-less Run-Through
7:45pm Rehearsal Ends/Load Trucks (Uniforms on BUS)
8:30pm Depart for Hotel
9:00pm Arrive at hotel. Gather with your assigned roommates and when you are all together, quietly enter the hotel to get your keys. Report straight to your hotel room.
10:00pm Lights out!

Itinerary - Saturday, November 8, 2025 - Show Day!

5:30am Wake Up/Change into half uniform
6:00am Breakfast Group #1
6:15am Breakfast Group #2
6:30am Breakfast Group #3 (Bring everything down with you)
6:45am Load bus with everything you need for the show.
7:00am Depart for Show
7:15am Arrive at Utah Tech University. One chaperone from each bus: Come see Mr. Lack and get wristbands. Distribute them to the students. (Left wrist - “Left is always right”)

  • Take everything you need for the performance only. No phones. No extra bags, etc,.

8:25am Warm-Up (Area B)
8:55am Pit to Gate
